CO-CURRICULAR PROGRAMS
Student Life and Activities is committed to creating out of classroom learning experiences that enhance in-classroom learning. To this end, funds are allocated to each division to support co-curricular programs. Prior support has included museum trips, in class musical performances, guest lecturers, movie trips to the local AMC Loews, field trips to cultural performances at area and New York City venues and site visits to area research universities. We also have limited scholarship funds available to assist students in pursing co-curricular study opportunities at national conferences or workshops.
Class Events & Trips
We realize that planning co-curricular programs is time-consuming but we are required to follow specific protocols established by the College. Faculty requesting support for co-curricular programs should follow the steps below:
1. Propose Program to Academic Dean For Approval: Any program, such as class guest speaker, performer or class trip must be proposed to the Division Dean. Your proposal should outline what the program intends to accomplish, the cost (if any), how many students you expect to participate, and whether or not you are charging a fee for participants.
2. Dean’s Office Contacts Student Life: Upon approvalthe Dean or Division Administrator will contact our office. Patricia Gesner, Senior Office Assistant, will enter the program into our co-curricular calendar of events and then forward the faculty member’s contact information to Robert Quinones, Director of Student Life & Activities. We will then work with the faculty member to process payment.
3. Payment: If hiring a speaker or performer for in-class presentation, Student Life & Activities will send an ASBCC contract to the faculty member to fill it out with the performer. The completed contract then needs to be returned to Student Life & Activities to process payment.
If travelling to a museum or other venue that needs payment, the faculty member must make the reservation and get an invoice so a check can be cut in a timely manner. Any time a check is needed, the department must have at least two weeks for Accounting to process the check.
4. Travel: If you are taking a class trip out of state, the faculty member MUST fill out a Travel Request form. This form needs approval from the Division Dean, Student Life, Student Affairs, EVP of Educational Services, Accounting and the President. To facilitate all the required signatures, travel requests must be submitted at least four weeks prior to a proposed trip. If you need cash advance for travel (parking, meals, etc.) please note that on the travel request form. Accounting has asked that we move away from spending funds and then seeking re-imbursement.
If you need a van please contact MaryJo Burkhard, Administrative Assistant in Student Life & Activities. The vans may only be driven by Brookdale Community College employees. Ms. Burkhard will need a copy of your driver’s license if you are not yet on the list of approved drivers. She will walk you through the van process, including the Van Request Form, the condition report and answer any questions you might have.
If you need a charter bus or mass transit tickets please contact Robert Quinones. We usually can meet most bus request, but be aware that April and December are high bus-trip times for area schools and it might be harder to reserve a bus at those times. We ask that bus request be made at least a month in advance to ensure a reservation. Mr. Quinones can also assist in getting train tickets through NJ Transit’s group sales office. NJ Transit needs at least two weeks’ notice for group sales.
5. Ticket Sales/Money Collection: If you need us to sell tickets for your class program please contact MaryJo Burkhard, so she can program the register at the Warner Student Life Center’s front desk. You must give Ms. Burkhard the number of tickets being sold and the prices for students, staff and community. If the trip is only for students you must designate this at this time. The funds collected will go back into the revenue line for your Division.
If you collect funds in class please deposit them at the front desk. The student ambassadors at the desk will assist you in making the deposit. Please make sure all checks are made out to Brookdale Community College and have a phone number on them.
Please note, if you believe your program will have broad appeal beyond students enrolled in your class, there might be an opportunity for Student Life & Activities to support it outside of Division funds. Contact our office to discuss co-sponsorship opportunities for this type of program.
Scholarship Funds
The department has limited funds available through ASBCC to help support student learning at national conferences and workshops. In the past we have sponsored student participants at national research symposia and in the College Leadership Seminar at Rutgers Eagleton Institute. These funds are for students seeking to travel on their own, and offered as a scholarship. They are not part of the Student Life Board’s support for club and organization travel and cannot be used for a club event.
