Financial Assistant, EACM Corp. (Sea Bright)

Position Summary

EACM Corp. in Sea Bright, an HVAC contractor, is seeking a Financial Assistant to assist Controller with the following:

Answer phone calls

Customer/vendor Correspondence

Project Closeout Documents

Human Resources

Tax Exempt Certificates

Verify transactions and activity in the business checking accounts and corporate credit cards and record them in QuickBooks

Keep up to date, accurate record of account balances

Review vendor invoices and pay accordingly

Maintain vendor files

Record payroll in QuickBooks

Print Out a report Showing the checks that were written for that week period.

Prepare weekly P&L Detail Report and verify correct account entry with Project Manager

Reconcile QuickBooks to bank statements and credit card statements Prepare Monthly reports


Monthly Reports include:

Summary Sheet (QuickBooks vs. Bank Statement)

P&L Detail Report

Accounts Receivable Aging Report

Accounts Payable Aging Report

Job Profitability Report

Pay monthly overhead bills and record in QuickBooks (see Schedule)

Provide Tax Exempt Certificates to Vendors per Project.

AIA Invoices

Certified Payroll Reports

Prepare Customer Invoices

Prepare Financial Reports for the bonding company

Review Liability Insurance Audits and ensure appropriate metrics utilized

Review Workers Comp Insurance Audits and ensure appropriate metrics utilized

Follow up with customers regarding unpaid invoices

Liaise with an external accountant during quarterly and annual reviews

Prepare annual application for Workers Comp Credits
