Position Summary

Brief Description:
Suburban Consulting Engineers is seeking a Project Administrator to join our growing team of professionals to work at our Wall Township, NJ office location. Reporting to SCE’s Operations team, the Project Administrator provides administrative and accounting support to our multi-disciplined team of engineering, architectural and environmental professionals, and interacts directly with project managers and accounting staff, as well as with clients, vendors and/or subcontractors as needed.
A professional with strong organizational skills, attention to detail, and discipline, the Project Administrator is responsible for performing various high-level project administrative and accounting tasks while demonstrating compliance with company policy, procedures and contractual requirements. The selected individual must be flexible and able to facilitate a variety of requests, adapt to changing priorities, and exhibit excellent communication and interpersonal skills with individuals across multiple engineering / architecture disciplines at all levels in a fast-paced work environment.
Job Responsibilities
Examples of work/duties:
-Facilitate project set-ups and establishment of billing terms in compliance with executed contracts: total contract value; Project, Phase and Task level budget allocations; fee types; payment terms; and proper client authorization.
-Provide guidance and support to project managers of varied disciplines with coordination and completion of project request (initiation) forms, work-at-risk requests, write-off requests, and contract amendments in compliance with company policy.
-Provide assistance to project managers with project planning and scheduling in support of successful project delivery.
-Support and assist Project Managers with project accounting and budgetary compliance through the performance of monthly administrative project reviews.
-Investigate and address problems related to project contracts, data discrepancies, and client billing issues.
– Promotes overall compliance with project management and accounting policies and procedures.
– Retrieve, organize and compile project documents/deliverables for submission to Client.
– Provide quality assurance and control.
– Provide administrative and clerical support including document editing and formatting to varied disciplines in need.
– Provide office reproduction services including printing and copying.
– Other related administrative tasks as required.

Qualifications
Requirements (education, licensing, certifications, etc.):
-Possess a valid Driver’s license. (required)
-High school diploma (or equivalent) with minimum of six (6) years of progressively responsible experience in project administration (required); or a bachelor’s degree in accounting/finance/business or related and three (3) years of experience (preferred).
-Ability to read and comprehend moderately complex instructions, contracts and subcontract agreements, correspondence and memoranda; and ability to effectively write moderately complex correspondence and memoranda. (required)
-Knowledge of job costing, contract file administration and comprehension of project revenue. (required)
-Working knowledge of Microsoft Office and proficiency in Excel and Word. (required)
-Prior experience working in Deltek Vision or similar accounting system. (preferred)
