Office 365 Overview

Microsoft Office 365 is a hosted productivity suite of applications. Office 365 includes email, access to the web and mobile versions of Word, Excel, PowerPoint, Access, and OneNote, and OneDrive for Business, a cloud file storage.  With Office 365, you can work from anywhere, on any device, and seamlessly collaborate and share documents.

Benefits of Office 365

  • As a cloud service, you have access to web-based versions of Word, PowerPoint, Excel, and OneNote in real-time—anywhere, anytime, on any device.

  • Collaborate online and see changes in real-time with Office Online applications (Word, Excel, PowerPoint, and OneNote) and OneDrive.
  • Type or handwrite notes, capture web pages, record audio/video, embed spreadsheets, and more with OneNote, available on all your devices.

You can access your email, calendar, and other Office 365 applications from the Office 365 Portal homepage.  Click on the Email+Apps icon from the MyBrookdale quick launch navigation located on the Brookdale website. Sign in using your Brookdale Office 365 account and your NetID password.

Your Brookdale Office 365 account is your Brookdale Email address (i.e., jsmith2@my.brookdalecc.edu) and your NetID password. Refer to section Office 365 and Email for an overview of the Office 365 portal. Always log out of your Brookdale Office 365 account and close the browser window, if you are using a computer other than your personal computer or laptop.

Access to Office 365 Email on smartphone, tablets, and other mobile devices

Email

Your Microsoft Office 365 account provides a full-featured email system with web access, integrated calendaring, support for mobile device access, and 50 gigabytes (GB) of email storage.

Your Office 365 Brookdale Email Address

Your Office 365 Brookdale Email address is your username@my.brookdalecc.edu. All official college communications are sent to this email address.

Accessing Office 365 Portal and Email

The Office 365 Portal provides access to your Office 365 mailbox, calendar, OneDrive for Business account, online versions of Word, Excel, PowerPoint, OneNote, and other Microsoft Applications.

Use your complete email address (i.e., jsmith2@my.brookdalecc.edu) and your NetID password when logging into the Office 365 Portal.

To log into your Office 365 account:

      1. Select the Email + Apps icon from the MyBrookdale quick launch navigation on the Brookdale homepage.
      2. Enter your complete Brookdale email address:
        (Ex. jsmith2@my.brookdalecc.edu)
      3. You will be redirected to Brookdale Office 365 login page, where you will enter your NetID password.

Download and Install Microsoft Office

All currently enrolled Brookdale students have a subscription to Microsoft Office 365 FREE of charge!  This subscription allows you to install the most current version of the Microsoft Office suite of applications (Word, Excel, PowerPoint, Outlook, and One Note) on your home computer, tablets, and mobile devices.

DO NOT install Office applications on computers or mobile devices that you are not personally using. To install an app, you must tie that installation of Office to your Brookdale Office 365 account. The installation will link all Office applications to your account. Just as you would not share your Brookdale NetID account with others, do not share your Brookdale Office 365 access.

  • Install on up to 5 devices: compatible PCs, Macs, mobile devices, iPads, and tablets.
  • Includes 1TB of cloud storage from OneDrive for Business where you can store, share, and easily access your files.
  • Your Office 365 subscription continues as long as you are a Brookdale Student, and the program continues.

PC and Mac Download Instructions

NOTE: If you have a version of Microsoft Office installed on your computer that includes additional applications, such as Publisher, and Visio, you may not want to install this version, as you may be required to uninstall your current version. However, you may download and install the mobile versions of Word, Excel, PowerPoint, and OneNote for your smartphone and tablets.

If you have an older version of Microsoft Office, such as 2007, 2010, 2013, 2016, etc.,  you may want to consider uninstalling the previous version and downloading this version of Microsoft Office.

Follow these easy steps to get Office 365 for home use.

  1. Visit https://portal.office.com
  2. Enter your Brookdale Office 365 account credentials, which is your Brookdale email (Ex.: jsmith1@my.brookdalecc.edu).
    You will be redirected to another screen to enter your NetID password.

NOTE: If prompted to select an account, select the “Work or school account” option.

  1. Click Sign-in.
  2. Click Install on the download page.
  3. Follow the online instructions for downloading and installing on your PC, Mac, or Laptop. If prompted for a username, always use your Brookdale Office 365 account, which is your Brookdale email
    (i.e., jsmith1@my.brookdalecc.edu).

NOTE for MAC Users: You will be prompted with an activation screen after installation. Please select the second option, which is “Sign in with a 365 account” rather than the first option, which is “Enter a product key.” Log in with your Brookdale email address and NetID password to activate your copy of Office.

Configure Outlook Client on Your Personal Computer or Laptop

You can configure the Outlook client application that is included in the download of Microsoft Office Suite of Applications to access your Office 365 Email account from your personal computer.  Outlook will give you access to your Email, Calendar, and Contacts. Follow the steps below to set up Outlook to receive your email.

Adding your Email Account to Outlook

  1. Launch Outlook
  2. Click File from the Ribbon
  3. Select Add an Account
  4. Enter the following information:
    • Your Name
    • Your complete Brookdale email (i.e., jsmith1@my.brookdalecc.edu)
    • Your NetID password
  5. Click Next


Mobile Download Instructions

iOS Devices (iPhone and iPad – require iOS 7.0 or higher )

  1. Visit https://portal.office.com
  2. Enter your Brookdale Office 365 account. Your Brookdale Office 365 account is your NetID user name followed, by @my.brookdalecc.edu, and your NetID password.
    Ex.: jsmith1@my.brookdalecc.edu
  3. Click Sign in

NOTE: If prompted to select an account, select the “Work or school account” option.

  1. Click the Get Office on your devices link
  2. Select your device
  3. Select the applications to install on your mobile device
  4. Follow the online instructions for downloading and installing on your mobile device or tablet

Android Devices (requires KitKat 4.4 or later version and have an ARM-based or Intel x86 processor.Android KitKat 4.4 or newer version and have an ARM-based or Intel x86 processor.)

NOTE: For older Android phones, you may need to install a certificate on an Android device before installing any of the Office 365 Applications (Word, Excel, PowerPoint and One Note). Otherwise, begin at step 2 in the instructions below.

  1. Click the Certificate link to install the Certificate on your device.
    • You will be prompted to enter a name for the certificate.
    • Enter “Office 365” and click, OK. Depending on your device, you may be asked to enter your PIN or security code to install the certificate.

  2. Visit https://portal.office.com
  3. Enter your  Brookdale Office 365 account information. Your Brookdale Office 365 account is your NetID username followed by @my.brookdalecc.edu:
    Ex.: jsmith1@my.brookdalecc.edu
    You will be redirected to another screen where you will enter  your NetID password
  4. Click Sign in

NOTE: If prompted to select an account, select the “Work or school account” option.

  1. Click the Get Office on your devices link
  2. Select your device
  3. Select the applications to install on your mobile device
  4. Follow the online instructions for downloading and installing on your mobile device or tablet.

Before you install any Microsoft Office 365 application, we recommend that you verify that your computer meets or exceeds the minimum system requirements for the product. Please review the information regarding Office 365 subscription plans for use on multiple PC’s or Mac’s and included cloud services – System Requirements.

NOTE: If you have an earlier version of Microsoft Office (i.e., 2010 or earlier) installed on your home personal computer and have problems installing the Office 365, you may need to uninstall the previous version of Office from your machine.  Refer to the following Microsoft Office Support Documentation.

Office 365 and Canvas

As part of your Brookdale Office 365 subscription, you get 1 TB of free cloud storage.  This cloud storage is OneDrive for Business (will appear as OneDrive – Brookdale Community College).  You can use your OneDrive for Business account to store and upload assignments and files into courses that use Canvas.

What is Microsoft Office 365?

Microsoft Office 365 is a hosted productivity suite of applications. Your Brookdale Office 365 subscription includes email, access to the web and mobile versions of Word, Excel, PowerPoint and OneNote, as well as OneDrive for Business, a cloud file storage. With Office 365, you can work from anywhere, on any device and seamlessly collaborate and share documents.

As a registered Brookdale student, you receive a free subscription to Office 365. Your Brookdale Office 365 account, which includes your Brookdale email, calendar, OneDrive for Business cloud storage, and Microsoft Office applications, is valid for one year after your last actively enrolled semester at Brookdale.

How do I access my Brookdale Office 365 email?

How do I download and install Microsoft Office applications on my PC, Mac, and mobile devices?

What if I already have Microsoft Office installed on my computer, do I need to download this version of Office?

As part of your Brookdale sponsored Office 365 subscription, you can install up to 5 copies of the most recent version of Microsoft Office Professional  basic suite of applications (which includes Word, Excel, PowerPoint, Outlook, OneNote, Publisher, and Access) for the PC or Mac and Office Mobile Apps for smartphones and tablets.

If you have a version Microsoft Office installed on your computer that includes additional applications, such as Visio, you may NOT want to install this version, as you may be required to uninstall your current version. However, you may download and install the mobile versions of Word, Excel, PowerPoint, and OneNote for your smartphone and tablets.

If you have an older version of Microsoft Office, such as 2007, 2010, 2013, 2016, etc., then you may want to consider uninstalling the previous version and downloading this version of Microsoft Office.

What happens to my Office 365 account when I am no longer a registered student at Brookdale?

Access to your Brookdale Office 365 account which includes your email, calendar, OneDrive for Business cloud storage, and Microsoft Office applications is valid for one year after your last actively enrolled semester at Brookdale. After one year of your last actively enrolled semester, you will no longer have access to your Brookdale Office 365 account.

Why do I receive an error when installing Office on my PC or Mac?

Office 365 Email

What is the biggest message that can be sent or received using Office 365?

25 MB. Office 365 cannot send or receive any messages larger than 25 MB.  If you need to send emails with attachments that are greater than 25 MB, you should consider uploading those files to your OneDrive and share with the email recipients. Refer to Store, share, and Sync files in OneDrive for detailed instructions.

Can I import contacts from another email account to my Brookdale Office 365 email?

You can import contacts to Office 365 email from Gmail, Yahoo, and other email services. This is a fast way to add many contacts all at once.

Before you can import contacts to Office 365 email, you need to export the contacts from Gmail or from another email service as a comma-separated value (CSV) file.  Once you have saved the exported CSV file, log into your Office 365 account and select the Outlook icon.  Open your Contacts list and from the Manage drop list, select Import Contacts.  Follow the on-screen instructions to import contact from various email applications.

Can I access my Brookdale Office 365 email on my smartphone and other mobile devices?

Yes, you will be able to access your Brookdale Office 365 email from your smartphone and other mobile devices. Refer to the following, Configuring Email on Mobile for Office 365 for detailed instructions on configuring your Brookdale Office 365 email account on your mobile devices.

Are there any technical requirements for using Microsoft Office 365?

Office 365 applications (Word online, Excel online, PowerPoint online, etc.) require a computer or mobile device with an internet connection and current web browser.  However, not all features of each tool may be available on all platforms and browsers.

What is OneDrive for Business

As part of your Brookdale Office 365 subscription, you get 1 TB of free cloud storage.  This cloud storage is OneDrive for Business (will appear as OneDrive – Brookdale Community College). You can access the latest version of your files from any computer or phone.

Share files through email, by sending a short link in a text message, or by posting them to a social network, your website or blog right from OneDrive. There’s also a desktop app for OneDrive that creates a folder on your PC or Mac that syncs with your cloud folder and lets you access files on your PC remotely.

NOTE:  Any personal OneDrive account that you may have subscribed to on your is not associated with your Brookdale Office 365 subscription and your OneDrive for Business.  These are two different accounts.

How do I access OneDrive for Business?

What file types are supported in OneDrive?

OneDrive supports the following file formats:

Documents  .doc, .dot, .txt, .pdf, .xlxs, .pptx, .html, .csv, .xml, .
Image .jpeg, .jpg, .png, .bmp, .dib, .gif, .psd, .tif, .tiff, .wdp.
Video mp4, .mov (QuickTime movie), and .m4v (Apple video files)

What is the difference between the OneDrive and OneDrive for Business?

What is the difference between OneDrive for Business and OneDrive?

      • OneDrive for Business is included in the Office 365 service for faculty, staff, and students and allows users 1TB of cloud storage space and the ability to upload a 2GB file.  OneDrive for Business is supported by Brookdale Community College and should be used for your work at Brookdale.
      • OneDrive is Microsoft’s free, consumer-based cloud file storage service.  This service is not supported by Brookdale Community College.  OneDrive consumer service or any other consumer service such as DropBox can be used for personal data storage.

What is the difference between the Office online and the Office desktop applications?

With your Brookdale Office 365 subscription, you can install up to 5 copies of the full desktop version of most current version of  Microsoft Office Applications (Word, Excel, PowerPoint, Outlook, Access, and OneNote) on your PC or Mac.

The subscription also provides access to online versions (i.e., Office Online) of Office applications to use when you are working on a computer that does not have the Office application installed. Log into the Brookdale Office 365 portal and select one of the online applications, Word, Excel, PowerPoint, and OneNote and save to your OneDrive.
